HSSA Complaint Policy & Procedures

HSSA’s philosophy is that softball should be a fun and rewarding experience for all concerned: players, coaches, spectators, and officials. We strive to maintain this environment. We expect all participants to act with courtesy to other participants. 

Complaints of Unacceptable Conditions

HSSA will not tolerate any lack of conduct or sportsmanship by any participant. Unacceptable conditions include, but are not limited to, 

  1.  Foul and abusive language, 
  2.  Harassment of coaches, officials, players, opponents (belittling or derogatory comments)
  3.  Any of any form of taunting which is intended to embarrass, ridicule, or demean others under any circumstances, including on the basis of race, religion, gender or national origin
  4.  Threats of aggression-threatened, attempted, or actual physical violence 
  5.  Any form of sexual misconduct 
  6.  Interference of or entering into the field of play by a spectator 
  7.  Willful failure to follow the direction of an umpire, coach, or tournament official during the game 
  8.  Any form of intoxication at a game 

The process of handling Complaints of Unacceptable Conduct shall flow as follows:

  1.  The complaint will be resolved at the earliest stage of the process 
  2.  Complaints must be filed in written format with date and time of the incident to the appropriate Level Coordinator, who will then bring the complaint to the Grievance Committee through direct communication with the chair of the Grievance Committee
  3.  All complaints received by Level Coordinators must be reported to the Grievance Committee 
  4.  The HSSA Grievance Committee will investigate the complaint and render any decision or disciplinary action 
  5.  All affected parties will be notified in writing from the Grievance Committee of the results, disciplinary action, and appeal rights
  6.  

General Complaints

The process of handling general complaints shall flow as follows:

  1.  General complaints require a 24-hour cool down period from time of observed incident
  2.  
  3.  The complaint will be resolved at the earliest stage of the process 
  4.  Complaints must be filed in written format with date and time of the incident to the appropriate Level Coordinator
  5.  All complaints received by Level Coordinators will be reviewed and investigated by the coordinator
  6.  The Level Coordinator has the ability to address or resolve the General Complaint at their discretion
  7.  The Level Coordinator can determine if the Grievance Committee is needed to investigate the General Complaint and render any decision or disciplinary action 
  8.  All affected parties will be notified in writing by the Level Coordinator or the Grievance Committee of the results, disciplinary action, and appeal rights
